Get the Time Management Playbook
You’re not imagining it. Volunteers are harder to keep than ever. The #1 reason they leave?
⏰ Time pressure.
Most of your coaches, team parents, and board members are juggling a full plate:
✅ Full-time jobs
✅ Kids in multiple activities
✅ Other volunteer commitments
✅ Real life (remember that?)
And yet we often ask them to take on huge roles with no structure and little support.
That’s a recipe for burnout.
Here’s What Smart Clubs Do Differently
Micro-Roles Matter
Not every volunteer needs to run a whole team or program.
Create smaller jobs that take 1–2 hours/week:
- Uniform coordinator
- Snack schedule manager
- Picture Day volunteer
- Equipment runner
- Sponsorship assistant
The easier the task, the more likely someone is to say “yes.”
2️⃣ Assistants Aren’t Optional—They’re Essential
If your registrar, coach, or event lead is flying solo, they won’t last.
Build assistant roles into every major task:
- Assistant coaches
- Co-registrars
- Fundraising committee
- Practice setup crews
People are more willing to help when they know they’re not alone.
3️⃣ Systemize. Don’t Personalize.
Volunteers shouldn’t be starting from scratch. Give them systems.
- Checklists instead of email chains
- Shared folders with templates
- Sign-up sheets, not group texts
- Defined time blocks for volunteer tasks
Remove the guesswork. Reduce the stress.
This Isn’t About Doing Less. It’s About Doing Smarter.
Give your club the structure that makes volunteering sustainable.
You’ll retain more people, grow faster, and create a better experience for both players and parents.
You’ll be surprised by what a few simple changes can do for your whole season.
